FROM BRASS KEYS TO SMART CONTROL: A FACILITIES MANAGER'S PERSPECTIVE ON MODERNIZING CAMPUS ACCESS

As a facilities manager on a college campus, access control is one of those responsibilities that only gets attention when something goes wrong. And for years, with traditional brass keys, something was always going wrong. Lost keys. Re-keying schedules. Emergency lock changes. Labor hours spent tracking down who had access to what door and whether they should still have it. It was expensive, disruptive, and surprisingly fragile for a campus environment that never really shuts down.

We knew we needed a better way. What we didn’t know was what kind of system would actually fit a college campus without introducing new headaches.

That’s where AAMSCO came in.

The Real Problem Wasn’t the Locks—It Was the Process

Like many institutions, we had looked at traditional electronic access control systems. They offered features we liked, but they also came with costs and complexity that made us hesitate: hardwired infrastructure, extensive installation labor, ongoing maintenance, and the need to manage yet another system campus-wide.

AAMSCO didn’t start by pushing hardware. Their team took the time to understand how our campus actually operates with a view over our residence halls, academic buildings, shared spaces, and the constant turnover that comes with students, staff and faculty.

What they identified was something we hadn’t fully considered: a smart, wireless locking system that could give us visibility and control without the cost and disruption of a full traditional access control deployment.

Why We Chose a Smart, Wireless Locking System

Working with AAMSCO, we landed on a solution using Proxess smart wireless locks. The appeal was immediate, but the impact has been even more satisfying over time.

We now have:

  • Centralized monitoring and control of doors without running wire everywhere

  • The ability to quickly change access permissions without touching the hardware

  • An end to routine rekeying when keys are lost or staff changes occur

  • Dramatically reduced labor costs, especially during move-ins, move-outs, and staff transitions

From an operational standpoint, the difference is night and day. Lost keys no longer trigger panic or new invoices. Lock changes that used to take days now take minutes.

Less Disruption, More Control

One of the biggest wins for us was how minimally invasive the upgrade was. Because the system is wireless, installation didn’t require tearing into walls or disrupting campus activity. Buildings remained open. Schedules stayed intact. And yet, we gained a level of insight and control we never had with brass keys, and couldn’t justify with traditional electronic systems. We can see lock status, audit usage, and respond quickly when something changes. That kind of responsiveness matters on a college campus.

The Value Was in the Guidance, Not Just the Product

Proxess delivers a strong solution but the reason this project succeeded is because AAMSCO identified the right fit for our environment. Their team didn’t oversell or overengineer. They matched technology to need, budget, and reality. That kind of partnership matters when you’re responsible for thousands of doors and the people who use them every day.

A Smarter Way Forward

Upgrading from brass keys to a smart, wireless locking system has fundamentally changed how we manage access on campus. We’ve reduced costs, eliminated recurring headaches, and gained control without adding complexity. Most importantly, we didn’t do it alone. AAMSCO brought the experience, insight, and support that helped us move forward with confidence. For a facilities manager, that’s exactly the kind of solution that makes life easier and gives me a better night's sleep.
